Temporary Assistant Director of Credentialing and Compliance

Note: This is a temporary assignment, expected to be 2-3 months while the recruitment to fill this position is completed.

SALARY: $66,560 Annually, Pro-rated - $32.00 Per Hour

Definition of Classification:

The Assistant Director of Credentialing and Compliance must stay current on internal policies and procedures related to fieldwork, licensing, and credentialing to ensure alignment with California Commission on Teacher Credentialing (CTC), and Western Association of Schools and Colleges (WASC) requirements. The Assistant Director of Credentialing and Compliance must stay current on educational systems, accreditation standards, and regulatory requirements. Additionally, they are responsible for maintaining teacher preparation programs compliance from entry to credentialing.

Reporting to the Assistant Dean of Operations and Analytics in the School of Education, this position plays a crucial role in consulting with teaching and learning faculty to design, develop, and implement policies, processes, and procedures. This includes conducting research and review of federal, state, and local education laws that have implications on teacher preparation programs.

This position requires flexible working hours, which may include working some evenings, weekends, and some holidays.

Duties and Responsibilities:

The duties and responsibilities include, but are not limited to, the following:
  • Facilitate Communication: Engage with OLC team, faculty, university constituents, and students to address any missing credential documents to compliance.
  • Enhance Digital Resources: Coordinate updates and improvements to accreditation digital forms, ensuring that teaching programs are equipped with the most current and user-friendly resources.
  • Informative Outreach: Draft and disseminate clear communications to students regarding updates from the CTC, fieldwork opportunities, and credentialing requirements, and deadlines.
  • Collaborative Meetings: Participate in regular check-in meetings to discuss student progress and support needs.
  • Grievance Resolution: Address and resolve grievances from students related to their fieldwork/practicum experiences, providing support and guidance throughout the process.
  • Submission Management: Oversee the submission process for file uploads related to teacher preparation programs, ensuring that all necessary documents are collected and organized.
  • Internship Management: Assist in managing teaching intern assignments, including reviewing eligibility and credential requirements to support student success.
  • Accreditation Compliance: Ensure that systems are in place to uphold accreditation standards and regulatory requirements, providing a quality educational experience for students.
  • Compliance Document Review: Review credential/licensure applications, transcript review and follow up with students to ensure they understand the process and requirements.
  • Compliance Research: Conduct research on federal, state, and local education laws, as well as internal policies, to ensure that fieldwork and credentialing practices align with compliance standards.
  • Appeal Review: Review student fieldwork appeals, providing a fair and supportive process for addressing concerns.
  • Partnership Engagement: Conduct check-in meetings with Teacher Residency partners to foster collaboration and support for students.
  • Resource Improvement: Continuously update and enhance supporting materials for Student Teaching, Internship, and Residency programs, including web pages and academic resources, to better serve students.
  • Competency Verification: Verify Subject Matter Competency for incoming students and provide follow-up support to ensure they meet program requirements.

Qualifications Guidelines

Experience/Training/Education:

Required
  • Bachelor's degree.
  • Three (3) years of related experience in higher education.
  • A successful candidate will competently interact with a culturally and ethnically diverse population of students, faculty and staff.
  • A valid California Class C CA drivers' license with a good driving record is required. Note: Out-of-state licenses are valid until appointment. A valid California Class "C" driver's license must be obtained within ten (10) days of appointment (in accordance with CA Vehicle Code 12505c).

Preferred
  • Master's degree.
  • Highly proficient in administrative reports, analyst and manipulating data, able to demonstrate excellent written and interpersonal communication skills.
  • Must have exceptional communication, organizational and customer service skills. Ability to interact effectively with on and off-campus contacts; interpret regulations and handle multiple tasks with tight deadlines.
  • Must be able to work efficiently and successfully with minimum supervision; prioritize and handle multiple tasks and deadlines; be creative and flexible.

Knowledge and Skills:
  • Knowledge of University, operations, policies, and objectives.
  • Knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing.
  • Excellent verbal and written communication skills.
  • Basic knowledge of mathematics.
  • Excellent organizational skills, and detail orientated with high accuracy.
  • Ability to prioritize tasks, meet deadlines and work independently and with minimal supervision in a fast-paced environment with changing priorities.
  • Demonstrate a high degree of motivation, tact, and diplomacy.
  • Basic knowledge of record keeping and record retention requirements.
  • Proficiency in computer skills using Microsoft Office Suite including Excel, Word, and PowerPoint.
  • Ability to operate standard office equipment.
  • Aptitude to learn new and evolving technology.
  • Knowledge of applicable federal and state laws and regulations.
  • Understand, interpret, and apply federal and state policies and laws.
  • Ability to recommend appropriate courses of action within established guidelines.
  • Ability to foster strong, positive relationships and align both internal and external resources to achieve university objectives.
  • Ability to exercise independent judgment and initiative.
  • Ability to work effectively with confidential information.

Physical Requirements/Working Conditions:

Working Conditions:

Standard office setting. Duties performed are primarily in an office environment while sitting at a desk or computer workstation or in meetings. At least minimal environmental controls to assure health and comfort.

Physical Demands:

Incumbents regularly sit for long periods; walk short distances on a regular basis; may travel to various locations to attend meetings and conduct work; use hands and fingers to operate an electronic keyboard or other office machines; reach with hands and arms; stoop or kneel or crouch to file; climb stairs; peak clearly and distinctly to answer telephones and to provide information; see to read fine print and operate computer; hear and understand voices over telephone and in person; and lift, carry and/or move objects weighing up to 20 pounds.

HIRING RANGE: Anticipated hiring range is near or at the minimum of the classification, commensurate with candidate's education, experience, skills, and training. The University of Redlands is required to provide a reasonable estimate of the compensation range for this role. This range considers the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is defined as the Full Pay Range. The budgeted salary or hourly range that the University reasonably expects to pay for this position is defined as the Hiring Range. Placement within the Hiring Range is determined by internal equity, and relevant qualifications.

BACKGROUND CHECK: Satisfactory completion of a background check (including a criminal records check) is required for employment. PHYSICAL AND PSYCHOLOGICAL EXAMS: For certain positions typically in Public Safety, Facilities, Athletics and Information Technology Services departments, employment is contingent upon a candidate passing a pre-employment physical exam with the ability to lift in excess of 50 lbs. Public Safety Officers, in addition to a pre-employment physical exam, will also be required to pass a psychological evaluation.
